Specify readers and deliverables, not just “English available”
List the people who will use the information: operator, maintenance team, buyer reviewer and trainer. Record their required languages separately from the supplier's working language. A bilingual website or brochure is not evidence that the offered HMI supports those languages.
Ask which files and text groups are included, optional, buyer supplied or still unconfirmed. Keep source and translated revisions linked. The matrix is a purchase-scope tool, not a determination of destination legal requirements; the responsible parties must confirm those separately.
Make each language commitment observable
Adapt the following schedule to the offered machine. Confirm formats, issuer, reviewer and due stage for every row, rather than treating one translated PDF as the whole delivery.
| Deliverable | What to specify | Evidence to request |
|---|---|---|
| Machine manual | Reader language, source revision and agreed file format | Applicable sample section and revision link |
| HMI screens | Languages offered for the actual panel and project version | Read-only demonstration or identified screenshots |
| Alarm and help text | Included text groups, identifiers and review coverage | Agreed message sample with visible codes and complete text |
| Machine labels and parts references | Language scope and stable equipment/part identifiers | Controlled examples cross-referenced to the machine |
| Training and later changes | Language, interpreter/material scope and update owner | Named responsibility and revised-delivery record |
Check screen evidence without changing machine controls
Ask the supplier to demonstrate the agreed text groups on the offered panel/project version under an approved review arrangement. Look for missing characters, truncated terms, untranslated messages, ambiguous units and readable identifiers. Record the screen or message ID and the reviewer comment, not just a photograph labelled translated.
A screenshot is limited evidence: it does not prove every screen or alarm is covered. Agree the sample and remaining checks. Do not generate faults, edit operating values, download a project or change protections merely to inspect language. Controls and safety-related wording require the responsible qualified reviewer.
Assign terminology, translation and update ownership
Build a short glossary tying each approved term to the relevant component or message ID. Keep a reviewer decision for ambiguous words. Reference codes, units and placeholders need controlled treatment; do not assume translating every string also means changing technical identifiers.
Specify who supplies the source, translates, reviews technical meaning, checks the display and issues the approved copy. Confirm how source changes trigger translation review, including any excluded work or additional cost. No translation lead time, capability or service is promised until the project proposal confirms it.
Send a language-specific clarification with the RFQ
Attach a small representative text sample and list unresolved deliverables. Request a written scope and evidence plan from the supplier. Keep language selection separate from the later check that the correct files actually arrived.
A translated menu can still leave the operator's question unanswered
Illustrative case: English menus are shown during an offer review, but the alarm/help text is not included in the demonstration. Ask whether those groups are included and request identified evidence under the agreed review plan. Do not mark the language scope complete on the strength of the main menu alone.
Record outstanding groups and their reviewer before the next agreed decision. Mr Kcal can coordinate a scoped request with Allot Tech (Suzhou) Co., Ltd.; the project parties confirm machine capability, technical review and issuance. For missing or superseded files, continue to the document register rather than creating a second language commitment in email.
Questions to close before purchase
Does an English HMI mean the whole water bottling machine package is translated?
No. Specify manuals, screens, alarms/help, labels, parts references and training separately. Ask what is included for the actual machine, panel and project version; website languages do not establish equipment capability.
How can I review HMI translation before shipment?
Agree read-only evidence and a defined text sample with the supplier. Record identifiers, complete wording, readability and remaining checks. Do not change controls or create faults for an informal language check.
Who should approve technical terminology?
Name the source owner, translator, technical reviewer and display reviewer in the project record. Resolve ambiguous terms using component/message references and link approved translations to the source revision.
Are extra languages and later revisions automatically included?
Do not assume inclusion. Confirm deliverables, formats, evidence, update ownership, exclusions and any additional work in the proposal. Applicable local obligations require separate confirmation by responsible parties.
What you should leave with
- Language scope by deliverable
- Named terminology and technical reviewers
- Version-matched display evidence
- Responsibility for later updates
