Lifecycle responsibility

Water Bottling Machine After-Sales Service and Spares

Useful after-sales support starts with named responsibilities, machine-specific documents and a way to identify the correct parts. Clarify remote assistance, on-site work, training, warranty terms and costs before ordering; a general promise of lifetime support does not describe the service you will receive.

Define the support you are buying

Ask who receives a support request, who diagnoses the equipment and who supplies replacement parts or site personnel. Agree the communication language, working hours, escalation route and any response commitments. Do not infer 24-hour support, a specific warranty period or a free site visit from this guide.

Service items to clarify in the proposal
ServiceResponsibility questionCost or evidence to record
Installation and startupWho connects, commissions and approves each assigned task?Site readiness, labor, travel and test scope
Operator trainingWho trains which roles on the supplied equipment?Language, materials, attendance and handover record
Remote assistanceWho reviews the case and authorizes any access?Available hours, secure access method and escalation
Replacement partsWho confirms compatibility and dispatches the part?Part reference, revision, stock/lead time and freight basis
On-site serviceWho approves and schedules the visit?Travel, local arrangements, labor and exclusions

Prepare a parts list that identifies the actual machine

Keep machine model, serial number, assembly drawing and relevant revision with each part request. Use the supplier's part number where provided; photos can support identification but should not be the only compatibility check. Ask whether a substitute or revised part requires confirmation for the installed assembly.

Separate startup consumables, routine wear items, format/change parts and critical spares. Ask the supplier to explain quantities, expected use and replenishment assumptions for the project. This page does not set replacement intervals or promise stock availability; those require the supplied machine's documentation and a current response.

Send a support case that can be investigated

Record what happened, when it began, the machine identity, bottle/cap format, alarm information and recent changes. Share relevant photos or records only when safe and authorized. Do not send passwords in an ordinary support message. Remote access, if needed, should be approved, limited to the agreed purpose and reviewed by the site's responsible personnel.

For an unsafe condition, follow the site's safety procedures and use qualified personnel. Do not bypass guards, interlocks or prescribed isolation to obtain a video or keep production running.

Distinguish a warranty request from a service order

Ask the supplier to state how a case will be assessed and which documents it needs. Confirm the agreed treatment of parts, labor, freight, travel, consumables and exclusions; do not assume that all costs are included because a warranty is mentioned. The applicable terms must be reviewed in the actual purchase documents.

Where a site visit or replacement is proposed, request a written scope and cost basis before approval. Record the completed work, changed parts or settings, remaining issues and updated documents. A support case should end with a clear handoff, not only a message saying the issue is closed.

Use the installation handoff to make later support easier

Collect the agreed manuals, drawings, parts lists, approved configuration records, training records and backup/handover arrangements. Assign document ownership and keep revisions associated with the machine. These records help the responsible technical team understand what was actually installed.

Allot Tech can help coordinate the project communication. The manufacturer's service obligations, buyer's site duties and any third-party work must still be identified in the agreed proposal; no unsupported response-time or repair guarantee is offered here.

Questions to close before purchase

01

What information helps identify the correct spare part?

Provide the machine model and serial number, part number if available, assembly drawing/revision and relevant photographs. Ask the responsible supplier to confirm compatibility, especially for substitutions or revised parts.

02

Does remote support include free on-site repairs?

Not automatically. Remote assistance, travel, site labor, replacement parts and freight can have different scope and cost arrangements. Confirm them in the service and purchase documents.

03

Should a support request include machine login passwords?

No. Start with machine identification, symptoms and approved evidence. If remote access is required, arrange it through the authorized site process with agreed scope and access controls.

What you should leave with

  • A service responsibility schedule
  • Machine and parts identification records
  • A structured support request
  • Explicit response and cost arrangements
