What should the machine quotation actually name?
‘Water bottling line’ is a heading, not an equipment schedule. Ask for the machine function, proposed model or platform, quantity and accessories on each row. The technical basis should name the product, bottle, cap, required output and any pending confirmation. Distinguish a catalog reference from the performance proposed for your actual bottle.
| Quotation row | Minimum useful detail | Evidence to request |
|---|---|---|
| Rinse-fill-cap machine | Platform, quantity, bottle/cap range and output basis | Project data sheet and approved format schedule |
| Bottle supply and format parts | Purchased-bottle feed or blowing route; parts for every quoted format | Bottle/neck drawings, accessory list and changeover scope |
| Label, code and pack | Label method, coder, final pack and transfer equipment | Sample packaging, layout and named machine interfaces |
| Utilities | Connection conditions and which auxiliaries are included | Utility schedule; compressors/cooling listed where required |
| Testing and documents | FAT method, samples, records, manuals and drawings | Test plan and document-delivery list |
| Service and spares | Installation/training tasks, travel basis and parts supplied | Service schedule, spares list and support responsibilities |
Use five scope states instead of a blank cell
Mark every required item as included, optional, buyer supplied, excluded or open. These states answer different questions. An optional item needs a price if it is required for your project; an excluded item needs another supplier or a change in scope. Buyer supplied means a named buyer-side responsibility, not that the item is unnecessary.
Example only: if the quotation includes a PET blow molder but says nothing about its air and cooling equipment, that blank is open. It is not evidence that the auxiliaries are included, and it is not a zero-cost allowance. Request the exact connection requirements and an explicit supply decision before comparing the package total.
Separate machine price from delivery and startup obligations
Keep equipment, required options, spare parts, testing, packing, transport and site services visible as separate items or clearly defined inclusions. Record currency, quotation revision, validity, delivery basis and named location. Ask who will arrange and pay for local handling, connections and the assigned installation work; do not infer it from a general ‘installation support’ statement.
For output verification, ask which bottle and cap samples will be used, what is counted as acceptable output, what test boundary applies and how unresolved items will be recorded. A demonstration video can help identify equipment but does not replace the project's agreed acceptance evidence.
Request a corrected quotation, not another loose promise
Tie each clarification to an offer number and row. Ask for a revised schedule or a referenced response so the answer stays with the decision record. Do not invent missing prices or combine mutually exclusive options into one total.

Catalog equipment reference

This image supports machine-category identification. Final model, output, materials, dimensions, utilities and included accessories still require a confirmed project quotation.

Questions to close before purchase
Does a complete-line quotation always include a compressor and chiller?
No. Their necessity and supply depend on the proposed machines and process, and their inclusion must be stated. Ask for the utility requirements and mark each required auxiliary included, optional, buyer supplied, excluded or open.
Is a catalog model and BPH figure enough to approve the offer?
No. Connect the proposed model to the actual bottle, closure, product, accessories and output/test basis. A catalog rating is a reference until the supplier confirms the project requirement and its conditions.
What should I do when the quotation has no price for a required item?
Keep the item open, identify its owner and request a separate price or revised inclusion. Do not treat an unanswered or excluded item as free when comparing the offer with another supplier.
What you should leave with
- An equipment-and-service schedule
- Five explicit scope states
- A list of unresolved quotation items
- A reusable clarification request
