Which machine does each document actually describe?
Start with the confirmed equipment schedule, model and serial references where assigned, purchased bottle formats, options and approved changes. Ask the supplier to identify the applicable manual sections and project-specific drawings. A machine-family brochure or generic manual may not describe every item included in your order.
Record the document ID, issuer, revision/date, applicable machine or assembly, language, file format, required milestone and reviewer. Mark preliminary, approved and final/as-built issues distinctly. The current issue should describe the delivered configuration; terminology alone does not prove that manufacturing or site changes were incorporated.
Request the evidence before the decision that needs it
Tailor this register to the actual supply boundary. Not every deliverable exists at the quotation stage, and not every listed format or software file is included automatically.
| Decision point | Documents to agree | Review before proceeding |
|---|---|---|
| Quotation / agreement | Equipment schedule, options and document delivery list | Same machine, included scope, issuer and submission dates |
| Preparation / design review | Approved layout, connection details and utility/interface schedule | Required information reaches the party responsible for preparation |
| Before FAT | Agreed test basis, samples and current relevant drawings | Test records can refer to an identifiable configuration |
| Before dispatch | FAT results, open-item record, manuals, parts references and packing documents | Received, reviewed and still-due items remain distinguishable |
| Final document handover | Agreed final revisions, change records, training and software deliverables | Files match actual equipment and have a named custodian |
Received, readable and accepted are different states
Log a file as received when it arrives; then check it opens, pages are complete, text and symbols are legible, and equipment/revision references match. A scan with unreadable part numbers is not a usable ordering reference. A PDF is not automatically the editable drawing or engineering source file requested in the agreement.
Use explicit review states such as received awaiting review, returned for correction, reviewed with open comments, and accepted by the designated reviewer. Keep comment IDs, response owner, planned issue and remaining check. A sent-file timestamp or folder named final does not close unresolved technical comments. Keep prior revisions traceable while identifying the current controlled copy.
Define software and access handover without exposing secrets
For included PLC/HMI or other controls, clarify the agreed backups, project files, parameter records, versions, licences and permitted access. Do not infer unrestricted source-file or licence transfer from buying a machine. Ask the responsible controls specialist to confirm the deliverables and any agreed recovery verification.
Do not try a restore on operating equipment as an informal file check. Keep passwords and keys out of public records and ordinary RFQs; use the authorized secure handover channel. This page requests evidence, not controls work, a repair procedure or a destination-compliance approval.
Send a document-specific clarification, not “please send everything”
Request the missing item and the decision it blocks. State the agreed language/format and equipment reference. Ask the issuer for a current version or an explicit planned submission rather than silently replacing unknowns with assumptions.
Close the mismatch against the delivered equipment
Illustrative case: the supplier sends a manual for the standard filler, but an optional cap-feed assembly in the order is absent from its parts references. Ask which document covers that assembly, its current revision and when it will be submitted. Keep the missing reference open; do not conclude that a complete PDF folder proves the whole purchased configuration is documented.
Give the receiving operator, maintenance reviewer and relevant contractor the controlled files they need, with a named owner for later updates. Link the register to FAT corrections, spares and shipment review. Allot Tech (Suzhou) Co., Ltd. can coordinate the clarification through Mr Kcal; technical issuance, review and approval remain with the parties identified for the project.
Questions to close before purchase
Which documents should I request from a water bottling machine supplier?
Agree a machine-specific list of relevant manuals, drawings, interfaces, parts references, test records and handover deliverables. Specify issuer, language, format, revision, milestone and reviewer; the exact list follows the purchased scope.
Can a generic water bottling machine manual be sufficient?
Only after its applicability is checked. Confirm the model, installed options and relevant sections, and identify the project-specific drawings or supplements for differences. A family manual alone does not verify the entire delivered configuration.
Are PLC backups, source files and licences always included?
No automatic inclusion is assumed. Obtain a written list of the agreed files, versions, licences and authorized access arrangements. Use a secure channel for credentials and leave recovery checks to the responsible specialist.
Does receiving the supplier's folder mean document handover is complete?
No. Check file usability, machine identity, revisions and review comments. Close each agreed item through its designated reviewer, or keep a named open action and remaining verification; receipt alone is not acceptance.
What you should leave with
- A machine-specific deliverable register
- Separate receipt and review status
- Named owners for missing or superseded files
- An agreed document handover milestone
