Separate five different purchasing needs
Start with the actual equipment schedule: a rinser-filler-capper, cap handling, conveyors and any other machines in the purchased package. The recommended items depend on that equipment, its configuration and operating conditions. The categories below help structure a supplier response; they are not a universal parts list or replacement interval.
| Category | Purpose | Clarify before purchase |
|---|---|---|
| Commissioning spares | Items planned for installation and startup needs | Who provides them and whether unused items remain with the buyer |
| Wear parts | Machine-specific items expected to need periodic attention | Part identity and the manufacturer's inspection/replacement guidance |
| Critical spares | Items whose unavailability could prevent operation | Failure consequence, availability and qualified replacement requirements |
| Consumables | Materials used during operation or maintenance | Specification, approved use and purchasing responsibility |
| Format-change parts | Components needed for an approved bottle/cap format | Formats covered and whether they are included tooling or optional supply |
Make each item traceable to the delivered equipment
Request the machine name, model/serial reference, assembly location, supplier part number, drawing revision, description, quantity and unit. A photograph can help locate an item, but dimensions or appearance alone do not establish compatibility. Similar-looking seals, sensors or handling components can differ in material, rating or revision.
For a component proposed as an alternative, ask the responsible manufacturer to confirm fit and any material, electrical, software or setup implications. Never describe an unverified substitute as equivalent. The procurement record should point to the approval; it should not give an untrained operator a repair procedure.
Choose quantities using the consequence of being without the part
Review supplier recommendations alongside your operating schedule, inspection plan, local sourcing options, replenishment uncertainty and acceptable interruption. Separate the quantity included with the machine from an optional initial stock and later replenishment. There is no defensible universal percentage of machine value or fixed two-year kit for every application.
Illustrative decision only: a format part for a future bottle that is not yet approved is a different purchase from a confirmed wear item for the launch format. Ask the supplier to label the former as a pending format decision instead of silently counting it as a ready-to-use spare. This is a scope example, not a customer case or stock recommendation.
Use a parts request that can be answered without guessing
For an existing machine, provide available nameplate and part references and a clear description of the required item. Any photographs must be obtained safely under site procedures by authorized personnel. Do not remove guards, approach moving parts or dismantle equipment merely to complete a purchasing enquiry.
Check the handover and replenishment route
At handover, compare the labeled parts and quantities with the agreed schedule, packing list and delivered-machine revision. Record shortages, substitutions and unidentified items as open issues. Ask for manufacturer storage conditions and any shelf-life information that applies; do not invent storage rules for all materials.
Confirm who receives a later parts request, who resolves identification questions and how price, shipment and compatibility are approved. A quoted dispatch estimate is not a guaranteed arrival date. Allot Tech (Suzhou) Co., Ltd. can coordinate the scope clarification through Mr Kcal; actual availability, compatibility and service obligations require a project-specific response from the responsible parties.
Questions to close before purchase
Are spare parts included in a water bottling machine price?
Only the parts and quantities listed as included in the accepted quotation are confirmed. Ask for separate rows for commissioning spares, wear parts, critical spares, consumables and format-change parts; a standard-accessories description is not enough.
Can I order a replacement using only a photograph?
A photograph can help identify the assembly but does not confirm compatibility. Supply the machine and part references where available, then obtain confirmation of the correct part and revision from the responsible supplier.
How many spare parts should I keep?
Use the machine-specific recommendation, operating and inspection plan, consequence of unavailability and replenishment conditions. Agree included and optional quantities separately; there is no single quantity that fits every machine and production schedule.
What you should leave with
- A categorized spare-parts schedule
- Part numbers linked to machine identity
- Included and separately quoted quantities
- An evidence-based replenishment request
