Which samples should accompany a water bottling machine enquiry?
Start with the bottle and closure for each requested format, plus the label and final packaging where those functions are part of the purchase. When bottle making is requested, identify the preform and intended finished bottle as well. Send the available drawings and state which physical samples are representative of intended production and which are provisional.
The supplier should tell you which materials are needed for the current review and why. A photo or drawing may support an initial discussion but is not the same evidence as a physical sample used during equipment evaluation. Do not treat a sample received by a supplier as automatically approved for every machine function.
Connect each component to one format identity
| Component | Identify in the register | Ask the supplier to confirm |
|---|---|---|
| Bottle | Format ID, volume, material, drawing revision, neck reference and sample source | Which handling and format requirements need further evidence |
| Cap / closure | Closure type, supplier reference, drawing revision and intended bottle match | What review is required for cap feed and closure compatibility |
| Preform, when applicable | Reference, available drawing and intended finished-bottle format | Whether bottle-making scope needs further samples or data |
| Label | Method, material/reference, dimensions, artwork revision and sample status | Which label and bottle combinations are included in the proposal |
| Finished pack | Bottle count/pattern, film or carton reference, dimensions and representative pack | What packing format and consumable assumptions the offer uses |
Record what the sample represents, not just its arrival
Use distinct statuses such as requested, received, under review, accepted for a named purpose or superseded. Record the date, supplier reference and the decision supported by the review. A sample may be adequate for a preliminary handling discussion while other dimensions, materials or production tolerances remain unconfirmed.
Keep the drawing revision and physical sample identity together. If they disagree, flag the discrepancy and ask which reference governs the next step. Do not silently use the newest email attachment as the approved version. Where representative production material is unavailable, ask the supplier to list the limitations of any provisional review.
Multiple formats need separate records
Illustrative example only: a project requests 500 ml and 1.5 L PET bottles. Give each format its own bottle, cap, label, pack and required-output references. A shared neck description does not settle all bottle-handling, labeling, packing or change-part questions.
Ask the supplier to identify the formats included in the base proposal, optional formats, required change parts and the review still outstanding. Link those answers to the equipment and format schedule. This register does not select a machine or guarantee a changeover time; it prevents the proposal from relying on an unidentified packaging combination.
Copy this sample-review register
Use one record for each component and format. Request sample quantities and shipping arrangements for the actual review; there is no universal quantity supplied by this checklist.
Separate pre-order sample identity from FAT-material readiness
This page helps identify and control the packaging references used for the proposal and technical baseline. Planning materials for factory acceptance testing is a separate task: the test plan must determine representative formats, quantities, delivery timing and traceability for the agreed setup and run.
When a bottle, cap, label or pack changes, notify the equipment supplier and reopen the affected review. Retain the old reference as superseded and ask for written effects on compatibility, parts, output, tests, price or schedule. The next links take you to the RFQ evidence, agreement, format-change and FAT-material decisions without treating sample shipment as technical approval.
Questions to close before purchase
Are bottle photographs enough to obtain a final machine selection?
Photographs can help an initial enquiry, but they do not replace the drawings, physical samples and project facts needed for the supplier's specific review. Ask which information is missing before treating a proposal as confirmed.
Does sample receipt mean the packaging has been approved?
No. Record receipt separately from review and acceptance for a named purpose. The supplier should identify the reviewed reference, evidence, limitations and any remaining questions.
How many bottle and cap samples should I send?
Ask the supplier to specify quantities for the actual review or test plan, including the intended purpose. Proposal review and a sustained FAT run have different material needs; this guide does not prescribe one universal quantity.
Can I change the packaging supplier after the proposal?
Record the new reference and ask for an impact review before relying on the earlier compatibility or performance response. Similar appearance or nominal bottle volume alone does not establish equivalence.
What you should leave with
- A format register linking every packaging component to its drawing and physical sample.
- Separate receipt, review and approval statuses for samples.
- A traceable record of packaging changes before selection, tooling or testing.
